1. “Your Index Number/School ID Number and Date of Birth combination is in-correct. Please kindly check it and try again”

 

This is the commonest pin code generation issue . To understand this issue you must understand how the NSS pin code generation system works:

 

When you enter your School index number and date of birth, the system compares that to personal information of graduands (list of completing students) provided them by you institution or their afiliated institutions. In the case of college of education trainees, that list is to be provided by ucc, UCC gets that list from your institution.

 

The personal information on this list is gotten when you first applied for your school, during the application process. Subsequent corrections are made through out your stay in school. The school administration initiates this or you get corrections done upon request.

 

 

 

Solution To Your Index Number/School ID Number and Date of Birth combination is in-correct

 

  1. Date of birth format :

 

The date of birth format you enter must be in numbers and in the Day/Month/Year Format. Example if your date of birth is January 3rd 1991, the correct format to enter it would be 03 / 01 /1991. Thus you enter 03 in the first box, 01 in the second text box an 1991 in the third text box.

 

 

    2. Enter date of birth you used when applying for your school

 

As explained above, the NSS gets your personal details from your institution, the date of birth you are to enter is the one on your school’s records. The one you entered when applying for the school. If you did not update your record while in school then it remains the same. If you did then enter the change you made. You can find the date of birth on your school’s record, in your student’s portal or on the spare application form you printed during the registration period.

 

 

  3. Contact your institution for correct combination of index number and date of birth they have on their records.

 

This is obvious, if your school has contact details just call and ask what date of birth combination is on their system or further ask for assistance.

 

 

  4. Make sure you do not have a resit or any incomplete (IC) grades that you have not sorted out.

 

Since the National Service is for graduates, if you have any academic related issue that would impede on your graduation, such as an incomplete grade or resit that you have not sorted out, then your details would not be on the graduation list and hence not be submitted to the NSS. Getting a resit or incomplete (IC) in the final year is always dangerous, you might have sorted it but the system might not have been updated accordingly. To be sure this is the cause you can contact your institution or check your grades in your student’s portal.

 

 

   5. Go to to your institution for assistance

 

If everything fails go to your school, they are the right people to give you assistance or information as to what to do next. There has been instances where the school writes an official letter for to send to the NSS head office for them to generate your pin code for you. If you go to the NSS office straight without written permission from your school, you may directed back to your institution as the NSS cant assist you without the requisit infomation from your institution.

 

 

 

 

2. You Paid For Pincode But Cant Register

 

Thus deductions were made on your mobile money upon payment for the pincode but you did not receive a confirmation message from the National Service Scheme.

 

This is most due to insufficient funds or system issues. There is a notice on the National Service website that if you have insufficient funds in your mobile money account and you make payment, there will be a deduction but your pincode would not be activated and you wouldnt get a refund.

 

Solution To You Paid For Pincode But Cant Register

 

1. You might think you have the 41 cedis in your mobile money account but dont forget there are service charges, so having the exact amount would not be sufficient to make payment. You shoud be having way more than the pin code payment amount of 41 cedis to be on a safer side.

 

2. This at times is just a system issue. The solution to this is to request for refund from the mobile money operator and make the payment again. You can request the refund by calling the customer care line and and letting them know you are to receive a confirmation message after the payment but you did not and that the pin code was not activated. They would then make a refund which takes upto 24 hours to take effect, then make the payment again. Make sure you receive a confirmation message this time.

 

 

 

 

National Service Scheme (NSS) Registration Problems And Solutions

 

1. Means Of Identification / ID Card Issues

 

The first thing  you would see after signing into the Ghana national service enrollment system for the national service online registration, is a page that requires you to choose a means of identification by entering the ID number of a supported ID card.

 

 

The supported ID cards are; a voters id, national id, ssnit id, drivers license or a Ghanaian passport, as of the 2018/2019 service year onward health insurance is not allowed.. Upon entering your ID number, the system verifies it and rates it as Good, Fair and Bad. If it is rated as bad it means there is an issue with you ID card such as name combinations, Example if your full name Yaw Manu Antwi but for some reason the name on the id you entered is Kofi Smith Yeboah then the system would not let you register it would be rated as bad.  The system would not allow you to move unto the enrollment form.

 

If for some reason, you do not have any of the cards. Either because you have misplaced it or because you have not acquired one yet.

 

 

Solution To Means Of Identification / ID Card Issues

 

  1. First Option: If You Had Misplaced Your voter’s ID:

 

Just go to the electoral commission district or regional office in the town where you registered the card. Request for just the ID number by providing them with your your full name. All you need is the ID number and not the card itself. You would have to be humble as they are not obliged to provide you with that information.

Upon getting the ID number, you can move on to enter it on the enrollment page to verify your identity and register.

 

  1.  Second Option: If You Do Not Have Any Of The Cards:

 

Go to a SSNIT office and request for a SSNIT card. SSNIT would not give you the card just because you need it. You must satisfy a condition. They require a letter of appointment from an employer that shows you have been recently employed. And that your employer is ready to pay your SSNIT contribution.

How do you get an appointment letter? Any registered business can give you an appointment letter. Even an MTN mobile money vendor business that is registered at a district assembly or similar authority.

You would have to admit that you have been recently employed by the said institution. And that you need a ssnit number. Your position of employment, employment date and all that is required in an appointment letter must be present. You can google online for a sample appointment letter.

SSNIT card takes almost a month, but its not the card that you need, you need a ssnit number. Upon registering with snnit you would receive your ssnit number in a week’s time.

Upon getting the SSNIT ID number, you can move on to enter it on the enrollment page to verify your identity and register.

 

 

  1. Third Option: Get A Passport

 

The third option is to apply for a passport. This is not the safest option since we all know that even the expedited application takes more than a month. 2. Passport Picture Not Showing On Printout

 

If you used a mobile phone for the registration you may have issues such as not seeing your picture after the registration but it is there, the issue is from the browser. It is on the dashboard.

Head over to your dashboard and click on the “View Online Registration Form” button below the page to view the entire registration form and you would see your passport picture there. Then reprint it on a pc.

 

 

 

 

3. You Made A Mistake During The Registration And Want To Correct It

1. Head over to your dashboard, you can do this by going to  portal.nss.gov.gh, you would see a sign in button at the top right corner of the page. Hover over it and click on “sign in as personnel”. Enter the email you used for the registration and your pincode or password to login. You are now on your National Service Dashboard.

 

 

2  On your National Service Dashboard, below the page you will see a “Update Registration Form Button” click on it and your entire registration form would show for you to make changes. As of whether the changes would take effect or not depends on how long it has been since you registered. If a long time has passed, you cannot make changes.
